1. What this Site receives
Public pages are available without sign-in. Invited adults may use protected parent, coaching and publishing areas through ChatGPT sign-in. Stored membership information includes the site-specific user ID, email, role, team access and invitation/revocation history. No child accounts, public comments, public player profiles, child uploads or payment collection are offered.
The hosting service may process basic technical information needed to deliver and secure the Site, such as browser and device information, page-request information, network information, and security signals.
The optional website enquiry form stores the adult sender’s name, email, optional age-group/program choice, message and consent confirmation in a private organiser inbox. It is separate from official club registration. Only authorised administrators can read these messages. Do not submit a child’s full name, exact birth date, medical information or sensitive details.
2. Information this Site must not request
- A child’s date of birth, school, precise location, or account credentials
- Medical records, eligibility information, or disciplinary records
- Private roster, playing-time, or sensitive family information
- Government identifiers or financial information
- Parent phone numbers or private email addresses for public display
- Any information that is not reasonably necessary for an adult request
3. Children’s privacy
This Site is intended primarily for parents, guardians, coaches, and adult family members. It is not directed to children under 13. Children under 13 should not submit personal information directly through this Site.
No child accounts, public messaging, public comments, child-upload features or public player directories are enabled. The adult enquiry form requires the sender to confirm that they are 18 or older or acting as a parent/legal guardian.
4. How adult information may be used
We do not sell personal information.
We do not provide personal information to D&L Garage Doors, Morten A. Giraffe, Chewb & SPAKOi, Idaho Surf, or other third parties for independent marketing unless the individual specifically requests or authorizes that communication.

5. PlayMetrics
PlayMetrics is the official platform for Academy schedules, attendance, announcements, and direct team communication. Information submitted to PlayMetrics is governed by PlayMetrics and applicable club policies, not this Privacy Policy.
6. Hosting and external services
The Site is hosted using ChatGPT Sites. OpenAI and its service providers may process technical information required to host, maintain, support, and secure the service under their applicable terms and privacy practices.
External websites have their own terms and privacy practices. Clicking an external link leaves Surf Academy.
7. Retention
Website enquiries older than 30 days are deleted at the next scheduled or on-demand feed refresh. An authorised administrator can delete an enquiry sooner. Daily aggregate outcome counts are deleted after 90 days at the next refresh. Content revisions and access/audit records are retained for site operation and recovery; contact the organiser for a removal request. Separate services, including PlayMetrics, apply their own retention policies.
8. Security
Reasonable efforts are used to protect the Site and the limited information connected with it. No internet transmission or storage system can be guaranteed completely secure. Do not send sensitive child or family information through a general communication channel.
9. Adult privacy requests
Adults may request access, correction, deletion, content removal, or withdrawal of a submitted message through the Contact page. Current Academy families may also contact Coach Guy privately through PlayMetrics.
10. Policy changes
Material changes will be shown through a new effective date and an updated notice on this page. Information practices should be reviewed before any new form, account, analytics, advertising, or upload feature is enabled.
